Proof of Insurance

Proof of Insurance must be submitted two weeks prior to your first game.  NO EXCEPTIONS!
Failure to submit proof of Insurance will prevent your team from playing!

You will not be reminded again of this requirement. Please understand this request comes from OUR Insurance carrier.

You can go back into your Registration and EDIT -to add your Insurance- any time.

Schedules

Any requests for scheduling consideration must be made no later than 1 WEEK prior to the event. Every effort will be made to accommodate requests, but we cannot guarantee all requests will be honored.

 

Schedules will be released by the Tuesday before the tournament weekend.

 

Daily Event Admission

There is a daily admission fee of $5 per day for guests ages 13+. NO CHARGE for players and registered coaches. Coaches will be required to sign in upon their arrival at the facility. THREE coaches max per team. PLEASE MAKE SURE TO NOTIFY YOUR PARENTS OF OUR POLICY BEFORE THE TOURNAMENT DATE.

 

Park Rules

NO outside food or beverages permitted in the park.

1 team cooler is allowed

(We have a full Cafe with many food and beverage choices)

NO smoking in or around the park.

Disruptive conduct or abusive language will not be tolerated.

NO SUNFLOWER SEEDS or chewing gum

NO metal spikes

NO pets

NO bicycles, scooters, roller skates or skateboards

 

Parking

Beware of foul balls from the playing fields. All guests assume the risk of balls hitting their cars or windshields. Parking down below or near the road are options. Additional parking is available on Elkay Drive, just past the facility.

 

Cleats

Players must wear rubber cleats, sneakers or turf shoes on the turf playing surfaces at Frozen Ropes.  NO METAL SPIKES.

Note: Field #3 is a dirt playing surface. Only 14u+ Softball players are allowed to wear metal cleats on this field.

 

Jewelry

Players are prohibited from wearing jewelry of any kind during their games.

 

Tunnel Time / Pre-Game
There is no set schedule for tunnel time/pre-game BP. There are 4 outdoor batting cages that can be used prior to the games. It is first come, first served. We ask that all teams stick to a 20 minute time slot. 

A coach must remain in the tunnel at all times with the players. Pre-game infield/outfield will be allowed on the outfield playing areas only. Teams are to bring their own practice balls for the batting tunnels.

Offsite Field Use

Directions to off-site fields can be found on FIELDS page. Frozen Ropes does not guarantee games will be played at the main complex. Please be respectful of our offsite fields!

 

First Aid

There will be first aid equipment on site for all of our games. In case of a serious injury players will be sent to Garnet Health Medical Center located in Middletown, NY.

 

Outside Food

No outside food or beverages (except a team cooler) are allowed inside the park. Please inform your players and parents of this rule so they are not surprised upon arrival. Our Café will be open during all tournament games. We have a full breakfast, lunch and dinner menu.

 

Protests

Protests will be heard and ruled on by the tournament committee. The team protesting must make cash payment of $250 at the time of the protest. If the protest is ruled in the protesting team’s favor the $250 will be refunded. The ruling made by the director will be final. Protests must be filed and ruled on before the next pitch. No team may protest a game after the final out is recorded.

 

Suspensions

Any player or coach that is ejected from a game will be subject to a one game suspension.

Refunds

A FULL tournament credit will be issued for any request made more than 30 days prior to the start of the event OR a refund will be issued, less a $150 processing fee.

Any cancellations made between 11 and 30 days out, will result in a tournament credit being issued for 50% of the total paid. Tournament credits are valid for one year.

No refunds or credits for cancellations within 10 days of the event.

 

Unforeseen Circumstances

In the case a tournament needs to be cancelled for factors outside of our control all teams registered for that specific tournament will receive a 100% tournament credit that can be used for a future tournament or any of our other events and will be valid for one year and can be transferable to another team.

 

Inclement Weather

If rain comes into play, we will do everything we can do to stay close to the original game schedule. If we need to change the schedule due to inclement weather, we will do our best to try to maintain the original tournament format schedule. The format may be changed to lesser time limits or fewer innings in order to complete the tournament. All rain out games may not be made up depending on time constraints. In case of scheduling changes it is the team's responsibility, not the tournament committee, to make sure they are aware of the new schedule or any scheduling changes. This information will be posted when it becomes available.

 

Weather Related Refund Policy

3 Game Minimum                             

0 games played 100% tournament credit (NO REFUND)

1 game played 70% tournament credit

2 games played $100 tournament credit

 

4 Game Minimum

0 games played 100% tournament credit (NO REFUND)

1 game played 75% tournament credit

2 games played 50% tournament credit

3 games played $100 tournament credit


BASEBALL ​​​​​​​Tournament Rules

National High School Federation Baseball Rules will be enforced with the following exceptions. 

Rosters

The roster size can be unlimited for the number of players on the team. There can be no more than 3 coaches allowed in the tournament. A team can add to the roster up to the first game. Once your first game begins, rosters will freeze and no new players can be added. A player can be on the roster for two different age groups in a tournament, but not on multiple teams within a single age group.

When submitting a roster, the following information must be included: name, jersey #, birthday, and email of every player. 

BB Age Requirements

Spring/Summer

Division Determination: 
Player's age on or before April 30th, 2024. 

For example: If your players are all age 10 on May 1st, 2024, then your team would be 10u eligible. If your players are age 11 on May 1st, 2024, then your team would be 11u eligible. 

*Note: Frozen Ropes requires teams to move up an age division during the Fall Season. For example, if you played in the 12u division for Spring/Summer 2024, you are required to play in the 13u division for Fall 2024. 

Innings/Time Limit

  • 9U-12U  1 hour 45 min game time or 6 complete innings
  • 13U-18U 1 hour 50 min game time or 7 complete innings
  • POOL PLAY GAMES CAN END IN A TIE
  • Playoff games will use the tie breaker system below.
  • There is NO TIME LIMIT in the Championship Game unless noted by the tournament director.

A 7 inning game is considered complete once 4 full innings are completed. A 6 inning game is considered complete once 3 full innings are completed.

 

No inning can start after time has expired. Time will be kept by the umpires.

We will not finish an inning if the home team is winning & batting when time expires.

For each team's pool games a coin flip will predetermine the home and away teams. The higher seed during the playoff rounds will have a choice of home or away.

 

Frozen Ropes Tie Breaker

If a playoff game is tied after time limit or if all innings have been completed the “Frozen Ropes Tie Breaker” will go into effect. You start the next inning with the last batted out at second base and zero outs and play the complete inning. After two complete innings with no winner the third extra inning will start with runners on second and third and one out, again the last two batted outs. This format will continue until a winner is determined. This tie breaker is used in all playoff rounds including the championship game.

POOL PLAY GAMES CAN END IN A TIE.

 

Sliding

You must slide or avoid the fielder.

 

Dropped Third Strike

Dropped third strike rule will be enforced in 10u-17/18u age divisions.

 

Leading/Stealing

No Leading or Stealing in 9U play (46' mound 60' bases) Can Steal once ball crosses the plate

10U (46' mound, 70' bases)11U and 12U (50' mound 70' bases). Leading and stealing

 

Intentional Walks

9U-18U Inform the umpire of your desire to walk the batter. No pitches have to be thrown.

 

Mercy Rule – Enforced in all games

15 runs after 3 innings

10 runs after 4 innings

8 runs after 5 innings

 

Trips to the Mound

The pitcher must be replaced on the 2nd trip to the mound in any inning, or on the fourth total trip in the game.

 

Balks

9U No Balks. 10U gets one balk warning per pitcher.

11U-18U No balk warnings in any round.

Third to First

There is NO third to first move allowed by the pitcher.

Pitching Restrictions

No limits on the amount of pitches or innings one player can throw. Coaches please make sure to keep all players safe and not over throw them in your attempts to try to win a championship.

 

Starting Line Up

Teams can choose to bat any number of players. The extra players in your line up will be listed as an EH. Teams can also use a DH if they would like. You can have both an EH and DH in the line up at the same time. ONLY 1 DH CAN BE USED IN THE LINE UP.

 

Shrink Rule/Playing with 8

When a player is injured and a team is roster batting that team will be forced to take an out the next time the player comes to bat. After the out is recorded the batting roster will shrink to one less hitter. If a player is ejected a team is forced to take an out each time that player steps to the plate. All games must be started with at least 8 players. 

 

Re-Entry Rule

Starters may be replaced by a legal sub and re-enter at any time during the game as long as they re-enter into the same slot in the original batting line up. Subs leaving the game may not return to play.

 

Courtesy Runner

Courtesy runners are optional for both the pitcher and catcher at any time. The last batted out can run for your pitcher or catcher. If the player is the pitcher or catcher the next batted out in the line up will be the runner.

 

Bat Requirements

9U-12U No metal bat restrictions 
For wood bat designated tournaments, no composite, no bamboo, no Baum bats (must be a solid piece of wood)

13U-15U divisions: -3 BBCOR metal (wood bats can also be used if you prefer)
-Unless Wood Bat is specified for tournament (For wood bat designated tournaments, no composite, no bamboo, no Baum bats, must be a solid piece of wood)

16U-18U Wood Bat Only (NO COMPOSITE, NO BAMBOO, NO BAUM BATS, MUST BE A SOLID PIECE OF WOOD) 

 

 

Tie Breaker Rules

1. Overall record
2. Head to Head; If three or more teams are tied and one team has not beaten all others, runs allowed will be the tie breaker used.

3. Total runs allowed in pool play.

4. Total runs scored in pool play.

5. Coin flip

 

Not Covered In the Rules

In the event any item is not covered in the rules, the tournament committee will make the fairest possible ruling and that ruling will be final.

SOFTBALL Tournament Rules

USA Rules will be enforced with the following exceptions.

SB Age Requirements

Spring/Summer

Division Determination: For the 2024 season which begins on 9/1/23, whatever the player's physical age is on 8/31/23 is their playing age for the full season which runs 9/1/23 to 8/31/24.

Teams can choose to bat any number of players. The extra players in your line up will be listed as an EH. No DP/FLEX allowed

 

Innings/Time Limit/Determining Home & Away

10U 1 hour 15 min game time or 6 complete innings

12U-18U 1 hour 15 min game time or 7 complete innings

Please note: Showcase events will use a one hour and 15 min drop dead time limit. We will finish the batter, and score will NOT revert back.
